Cloud Faxing: New-Age Faxing Combined with the Cloud Can Meet Today’s Complex Compliance Environment

Michael Gayowski, senior vice president Biscom Fax Services, says:

Today everyone agrees that medicine has become sophisticated and complex. So sharing lab results via standard grayscale fax reporting, and then following up with originals via FedEx overnight, no longer meets the need to communicate results quickly between a lab and its clients. Instead of that traditional approach, the digital HD-IP Fax, the Internet and the cloud are providing quick, clear, concise and secure diagnostic information that easily assists physicians with treatment decisions. And the information gives physicians detailed, full-color test results – including high-resolution color reports that convey clinical data, graphs and detailed histological images in a very accurate and detailed way.

Here are the eight most important considerations to look at when evaluating digital HD-IP Fax:

  • High-quality color digital transmission. Traditional fax transmissions use ITU-T Group 3 standards. With HD digital, transmission speeds should exceed standard Group 3 fax protocols and should be standards-based 256-bit AES encryption.
  • Encryption and direct point-to-point transmission. Faxes should be secure and “pushed” and automatically delivered to color printers/and or desktop. No one in the office should have to “pull” the data. By using 256-bit AES encryption, HIPAA compliance is met.
  • Immediate receipt of diagnostic reports for faster diagnoses. By eliminating any delay between the sender and recipient, the patient’s condition can be diagnosed and treated more quickly.
  • HIPAA, GLB and SOX compliance. Any solutions should ensure that personal information and sensitive documents are transmitted in a secure and auditable manner that meets compliance regulations. Authenticated access ensures the right recipient receives the right document. Direct Active Directory integration with ease of use with single user sign-on is a must.
  • Ability to run on a virtualized fax server. Virtualizing the servers makes it possible to run workstations and servers with different operating systems on the same fax server(s) concurrently. In this way, virtual servers enable users to do more with less, saving money on hardware, reducing operating costs while maintaining high-volume fax service.
  • Easily integrated with existing systems. Look for seamless integration with existing business applications, such as SharePoint, Exchange/Outlook, MFPs and Oracle.
  • Cost effective. Using the IP network, telecom charges can be eliminated with digital faxing. Overnight FedEx charges are also eliminated.
  • Private label. Private labeling sets the stage and raises the bar for quality offerings by setting the sender apart from more traditional methods of transmission of highly sensitive data.

Fax has evolved into an advanced document management technology, offering significant cost, productivity and security benefits to businesses. Savvy organizations are deploying enterprise fax software to transform paper to digital media, automate diverse and mission-critical business processes, save on usage and telecom costs, drive green initiatives, virtualize hardware to software, achieve business continuity and increase security of their sensitive data. Any firm still having a fleet of fax machines or older hardware fax servers has a huge opportunity to drive meaningful cost reductions, efficiency improvements, and information security.
